Terms & Conditions
It is a policy of Leap Minibuses not to accept bookings for unaccompanied children under the age of 16 years of age. If a customer has a complaint against a driver or a member of our office staff, they can either telephone 07555 200 747 or send an email to firstname.lastname@example.org
Your complaint will be dealt within 48 hours.
2. Driver Receipts
Leap Minibuses is a minibus and coach hire service. If you require an invoice for your booking, then get in touch with our accounts department.
3. Debit/Credit Card Bookings
The debit/credit card booking is taken from the customer by Leap Minibuses on behalf of the driver and Leap Minibuses. Leap Minibuses will charge a handling administration charge. Leap Minibuses will despatch a driver to carry out the booked journey. Leap Minibuses will not refund any fees if the booking is cancelled less than seven calendar days prior to the time of the booking journey pick up time as the driver would have been allocated this job. Leap Minibuses will record the contract order between the customer and Leap Minibuses to establish fault and if required will forward a copy of this recording to the customer or any other relevant party.
4. Withheld Numbers
As from August 1st 2011, Leap Minibuses will no longer except calls from ‘private’ or ‘withheld’ telephone numbers. This direct action has been taken to protect our drivers as all violent crimes or thefts against the driver reported to the police in 2011 has been committed by callers who withheld the number. If you are a Leap Minibuses account holder calling from an exchange and listening to this message you can continue to use your account by dialling the accounts line directly on 07555 200 747, any callers who are not account holders with Leap Minibuses will be requested to call the booking line on 07555 200 747 without restricting your number. Thank you for your help and understanding in this matter.
5. Entire Agreement
Any notice to be given by any party to the other under this Agreement shall be sufficiently served if left at, or sent by prepaid registered post or recorded delivery service or telefax or telex to the party to be served at. Its address as set out in this Agreement or such other address as it may notify for such purpose and shall be deemed to have been served when so left or sent by telefax or telex or in the case of posting 24 hours after the same was posted. In proving service by post it shall only be necessary to prove that the communication was contained in an envelope which was duly posted in accordance with this clause.
7. Protecting Your Security
You agree that we may use Personal information provided by you in order to conduct appropriate anti fraud checks. Personal Information that you provide may be disclosed to a credit reference or fraud prevention agency, which may keep a record of that information.
8. Cash Bookings & Card Booking Additional Fees
The price provided to the Customer at the time of booking is based on the journey specified (original journey) by the customer at the time of booking.
Such price will also include a booking fee in the event that a Customer intends to pay by credit or debit card. The administration fee shall not apply to bookings that are paid for by the Customer in cash.
All cash payments shall be made directly to the driver and the Company acts as agent for the driver when processing the cash booking.
The Company reserves the right to charge the Customer for any additional costs which may be incurred by the Company as a result of any variation or deviation from the Original Journey specified at the time of booking.
If the booking is cancelled upon arrival of the vehicle to collect the any passengers a cancellation fee will be payable by the Customer to the Company. Any cancellation fee is based on the Company’s current cancellation charge rate, which is available on request.
Quotations are given on the basis of the most direct route and on information provided by you. The route used will be at our discretion unless you have requested a particular route which will be specified in our quotation. All quotations are given subject to us having a suitable vehicle at the time you accept the quotation.
Once you have received our official quotation, an agreed deposit is required to secure the booking. This deposit should be sent to our offices along with the details of your full requirements for the hire to secure your booking. No booking is 100% confirmed unless we receive the agreed deposit.
On receiving your deposit, we will send you confirmation of your hire by email. You should check the details of the hire carefully and notify us immediately of any errors or changes. Normally written confirmation by us is the only basis for the acceptance of the hire or for subsequent alterations to its terms.
Unless otherwise stated, quotations are given for coach and driver only.
10. Balance Payments
The balance for all hires is due the seven calendar days prior to the departure date. Any hires received within 7 days of the departure date must be paid for in full at the time of booking. We accept payment by bank transfer, cash, debit and credit card (payment by credit cards will incur a 2.5% service charge).
11. Cancellation Fees
Should you require to cancel your booking, you should telephone us with the cancellation and then follow this up in writing. Our cancellation charges are as shown below:
More than 7 days – deposit only
Less than 7 days but not more than 72 hours – 50% of total hire cost
Less than 72 hours – 100% of total hire cost
In the event of any emergency, force majeure event or action by you to vary the agreed terms of the minibus/coach hire booking unilaterally, we may, by returning all monies paid and without further or other liability, cancel the booking.
12. Route Variations
We reserve the right to make an additional charge for any additional mileage or time incurred over and above that agreed in the hire. Any additional charges will be commensurate with the costs incurred by us.
The vehicle will depart at times agreed with you and it is your responsibility to account for all passengers at these times. We will not accept any responsibility for any losses incurred by passengers who fail to follow our instructions.
13. Vehicle Use
The vehicle should not be assumed to remain at any point between the outward and return journey nor to remain available for your incidental use when parked at such points.
14. Seating Capacity
We will at the time of confirming your hire confirm the seating capacity of the vehicle to be supplied. No more than the maximum number of passengers indicated may be carried on each vehicle.
15. Vehicle Provided
Whilst every effort shall be made to supply the relevant minibus or coach, sometimes such vehicles become unavoidably unavailable. In such cases, we shall supply the highest standard of vehicle available to us at the time, including those of other operators, for all or part of the hire.
We give advice on journey times in good faith but we cannot guarantee the completion of any journey at a specific time and will not be liable for loss or inconvenience caused by breakdown, traffic congestion or other delay outside our control.
17. Itinerary Changes
From time to time, Leap Minibuses may have to change certain aspects of the given itinerary. Wherever possible, such changes shall be notified to you in advance. Equally, customer may also be charged for certain changes in the pre-booked itinerary, where possible such charges will need to paid in full before the journey starts.
18. Passengers Property
All vehicles listed are subject to restrictions on carrying luggage for statutory safety reasons. The driver has full discretion as to carriage of passengers’ luggage and its storage. Generally, one suitcase plus one small piece of hand baggage per person will be accommodated. We do not accept liability for any damage to or loss of any property which belongs to passengers and is left in the vehicle. All articles of lost property recovered from a vehicle will be held at the depot at which the vehicle is based for three months and will then be destroyed.
19. Passenger Conduct
In the interest of other passengers, no musical instruments, radios and/or other audio devices shall be played without the company’s permission. Such permission shall be shown on the confirmation, where agreed.
It is strictly forbidden for any person to carry or consume drugs of any description except where such drugs are legally available over the counter without prescription or are prescribed by a doctor. The driver is responsible for the safety of the vehicle. Any passenger whose conduct is in breach of statutory regulations or is abusive to any person may be removed on the driver’s authority. You will be held responsible for the conduct of passengers and for any damage caused to the vehicle by passengers during the hire. We will not accept liability for damage or loss to any passenger entering or leaving the coach whilst in motion.
Under no circumstances may alcoholic drinks be carried or consumed on a vehicle without our permission. It is also illegal to carry or consume alcoholic drinks on a coach proceeding to or from designated sporting events and permission cannot be given in this case. Other than on a vehicle fitted expressly for the purpose, food and drink, except for small items of confectionery (such as sweets and chocolate) may not be consumed on the vehicle without our prior agreement or with the permission of the driver.
No animals (other than guide dogs and hearing dogs notified to us in advance) may be carried on any vehicle without our prior written agreement.
20. Currency and Passports
It is your responsibility to ensure that you are carrying the correct currency for each country visited along with a current valid passport and appropriate visas for such countries.
We would like to think in case of a complaint, we can amicably resolve the matter to your satisfaction. Should you have any reason to complain during the hire, you should firstly notify the driver who will endeavour to rectify the problem for you. If that matter cannot be rectified to your satisfaction, details of the complaint should be made in writing within 3 days of the hire to: Leap Minibuses, Crown House, 123 Hagley Road, Birmingham, B16 8LD. We will acknowledge all complaints within 3 days and will reply within 7 days.
